Camp Dates: February 16–20
Camp Hours: 9:30 AM – 3:30 PM | Drop-off: 8:45–9:30 AM | Pickup: 3:30–4:00 PM
Location: ELITE Gaming Arena, Downtown Syracuse, NY


1. Camp Rules and Expectations

To ensure a safe and fun environment, all campers are expected to:

  • Treat fellow campers, instructors, and staff with respect.

  • Respect all equipment, property, and the building.

  • Follow instructions from camp instructors at all times.

  • Avoid bullying, harassment, foul language, inappropriate physical contact, or violent behavior.

Prohibited Items

Campers may not bring:

  • Weapons of any kind (guns, knives, etc.)

  • Alcohol, illegal drugs, or tobacco products

  • Items that may endanger themselves or others

Behavior Management

  • Campers will receive a warning for inappropriate behavior.

  • After three warnings, a camper may be removed from camp at the discretion of staff.

  • All incidents will be documented, and parents will be informed immediately.

  • Campers will always be accompanied by an instructor to the restroom.


2. Health and Safety

Illness

  • Parents must keep sick children home.

  • If a camper becomes ill during camp, parents will be notified and must arrange prompt pickup.

Injury and Medication

  • Minor injuries will be treated on-site; parents will be notified if medical attention is required.

  • Instructors can only dispense medication if provided by the parent with instructions.

  • Parents must disclose any allergies or specific health conditions.

Emergency Procedures

  • Emergency plans, including fire drills, are kept with instructors at all times.

  • Campers will be escorted to safety following ELITE Gaming safety protocols.

  • Emergency contact information must be provided for all campers.


3. Registration and Refunds

  • Registration Deadline: Feb 15

  • Refund Policy: Refunds are available up to 14 days before camp. After this, no refunds will be issued except for documented emergencies.

  • Lunch: Campers are responsible for bringing their own lunch.


4. Drop-off and Pickup

  • First Day: Parents must accompany campers into the ELITE Gaming Arena.

  • Remaining Days: Parents are responsible for their child until they enter the building.

  • Pickup: Campers will only be released to parents or authorized guardians listed on the registration form.


5. Incident Communication

  • Parents will be informed immediately of serious incidents or changes to the camp schedule.

  • Minor incidents and behavioral warnings will be communicated at pickup or via phone/email.


6. Waiver and Release of Liability

I, the undersigned, acknowledge and agree to the following:

  1. I understand that participation in BrainPlay STEM & Gaming Winter Camp involves certain risks, including but not limited to physical activity, use of technology, and group interactions.

  2. I release and hold harmless ELITE Gaming, its staff, instructors, and volunteers from any claims, injuries, or losses arising from my child’s participation in the camp, except where caused by gross negligence.

  3. I grant permission for ELITE Gaming staff to seek medical attention for my child in case of emergency if I cannot be reached immediately.

  4. I consent to camp staff administering medication according to my written instructions.

  5. I understand that if my child violates camp rules, including repeated behavioral issues, they may be dismissed from the program without refund.
